Assign event images

CourtReserve doesn't send event photos, so you choose them in WordPress. Set an image on one event, on many at once, or save a rule that covers future events too.

Images come from your WordPress Media Library. Cards are wider than they are tall, so landscape photos work best. Events without an image show their name on a grey background.

There are three ways to give events an image, all on CourtFlow Events → Event images:

This guide is for CourtFlow Events 2.3.0 and later. To see which version you have, look at the top right of any CourtFlow page.

Set an image on one event

  1. In your WordPress admin, go to CourtFlow Events → Event images. Your upcoming events load in a list.
  2. Type part of the event's name, or a location name, in the search box 1 to narrow the list.
  3. The list only shows events that don't have an image yet, because Show only events without an image 2 is ticked. To find an event that already has one, untick it. Those events are marked has image, or image from rule if a rule gives them theirs.
  4. Click the event's name 3. Click the name, not the checkbox in front of it; the checkbox is for setting several events at once. If you don't see the event, click Load more events at the bottom of the list.

Event and club names in these screenshots are examples.
  1. Click Select image. Your Media Library opens.
  2. Click the image you want 4. To use a new photo, open the Upload files tab first.
  3. Click Select image in the bottom right 5.

  1. Optional: tick Apply this image to all events with the same name 6 to give the same image to every other date of this event, like a weekly clinic.
  2. Events with that name that already have a different image are left alone. To change those too, also tick Also replace images already set on those events 7.
  3. Click Add image 8. You'll see Event image settings saved.

How "same name" works. CourtFlow looks for events in the next 90 days whose name matches exactly (capital letters and extra spaces don't matter), and gives each one the image. Events with a slightly different name, or further out than 90 days, aren't included. For a series that keeps going, a rule is easier: it covers future dates as they appear.

Give several events the same image

  1. Tick the box in front of each event you want 1. To pick everything the list shows (after a search, for example), tick Select all shown. A green panel appears under the list with the number of events selected.
  2. Click Choose image 2, pick an image and click Select image.
  3. Read the line under the panel. It says how many events will get the image and how many will be skipped because they already have a different one.
  4. Optional: to change those too, tick Also replace images already set on selected events 3. When you apply, WordPress asks you to confirm, because this can't be undone from this page.
  5. Click Apply image to selected events 4.
Three events ticked in the list, and the green panel with Choose image, the replace box and the Apply image to selected events button highlighted

The page reloads with a message like Image set on 3 events. 0 replaced, 0 left unchanged because they already had a different image. The events drop out of the list, since it only shows events without an image. Untick Show only events without an image to see them, marked has image.

To start over, click Clear selection.

Apply an image by event name

Use the Apply by event name box, further down the same page, when you know the names of the events rather than the dates. It lists every event name in the events loaded above, with the number of upcoming dates in brackets.

  1. Tick one or more event names 1. Type in Filter names… to find a name in a long list.
  2. Click Choose image 2, pick an image and click Select image.
  3. Click Apply now to matching events 3. Every event with those names in the next 90 days, at every location, gets the image. Events that already have a different image are skipped, unless you tick Also replace images already set on matching events (Apply now only); then WordPress asks you to confirm first.

Or, to cover future events as well, click Save as rule (includes future events) 4 instead. See the next section.

Save a rule for future events

A rule says "events with these names use this image". It applies to every event with those names, now and in the future, at all your locations. You set it up once, and new dates of a weekly clinic get the photo as soon as they show up on your site.

  1. In Apply by event name, tick the names, choose an image, and click Save as rule (includes future events). You'll see Image rule saved.
  2. The rule appears under Image rules, with its names and image.

To use a different photo at one location, for example a picture of that club's own courts:

  1. In the rule's Per location column, find the location and click Set own image 1. Pick the image and click Select image. You'll see Location image updated.
  2. To go back to the rule's main image for that location, click Use rule image 2. To pick a different one, click Change.
Image rules table with one rule: two event names, its image, one location with its own image and one using the rule image

To stop using a rule, click Delete rule 3 and confirm. Deleting a rule never removes images you set on individual events. Events that only had the rule's image go back to the grey background.

Rules match whole names. A rule for "Beginner Clinic" doesn't cover "Beginner Clinic (Private)". Capital letters and extra spaces don't matter. If a series is renamed in CourtReserve, save a rule for the new name.

Which image wins

When more than one image could apply to an event, the card shows the first of these that exists:

  1. An image set on that event itself (one at a time, several at once, Apply now, or the same-name box).
  2. The image a rule gives that event's location.
  3. The rule's main image.

So an image you set on one event always beats a rule. Creating or changing a rule never changes an event that already has its own image.

Change or remove an image

Every image set on an individual event is listed under Event images already set, at the bottom of the page. Click Remove to take an image off an event. It's removed right away, with no confirmation step. To swap in a different image, set the new one on the same event: one at a time always replaces, and the other ways replace only if you tick the replace box.

Event images already set table listing events with their thumbnails, locations and a Remove button

Images from rules aren't listed here; change those under Image rules. If you remove an event's own image and a rule covers that event, the card shows the rule's image instead. Removing an image only takes it off the event card. The photo stays in your Media Library.
